What is T&E?
This question has two possible answers. T&E can be defined as travel & expense in many companies. Some companies also use T&E to refer to travel & entertainment expenses. This question is not definitive and definitions can vary from one organization to the next.
T&E refers to the daily expenses incurred by employees on business trips. These business expenses can include travel, hotel costs, meals, and transportation.
T& E expenses include any expense that an employee incurs while on business trips. Employees must be fairly reimbursed for all legitimate expenses incurred during the trip.
Most companies have a expense and travel policy to help employees understand what they can and cannot spend their money on. To be fully reimbursed, all expenses must be complied with by the employee.
What expenses are included in T&E
Things that can be included or excluded from T&E expenses may change depending on the organization. These are the most frequent expenses that can be included on a T& E report.
1. Travel and Transport
This is the largest expense an employee will incur while on a business trip. This expense includes all costs incurred by the employee for business travel.
These could include train and bus fares, air tickets, taxi costs, bus fares, rental cars, fuel money and parking fees. These expenses are not included in the compensation and should not be refunded.
2. Food/Meals
Employees must be reimbursed by companies for any meals they eat while on business trips. This includes money spent on lunches for clients. Certain food and beverages are not eligible for reimbursement by companies.
Most companies don’t reimburse employees for alcohol, as per their expense policy. Employees should review the company’s expense policy before filing the expense reports.
3. Accommodation/Hotel
The expense and travel report can include money spent on accommodation or hotel by employees. Your company may have an accommodation policy that is based on employees’ designations to help control expenses. You can reduce T& E costs by doing this.
4. Client Expenses
T&E includes all money spent on clients.

T& E, after salaries and payroll, is the second largest expense in an organization. If you aren’t careful, your company could be spending a lot of money on travel and other expenses. As a CFO, it is important to be attentive to your firm’s T& E.
First, you can use T&E reports submitted by employees to track expenses and make sure it is within your budget. The t&e expense report can be used to identify the areas where employees are spending a lot, and then try to reduce them.

2. Process for automating T&E reporting
Travel expense management software is used by firms to track and report expenses. It is very easy to report expenses in automated T& E software. To file an expense report, employees do not need to fill out many forms or save each receipt.
